2 Time Tracking and Invoicing Solutions for Freelancers

How FreshBooks Had Me at “Hello”

FreshBooks - They had me at "Hello".

Freelancers, do you use invoicing and time-tracking software for your freelance writing business? I’m writing (in the first person – a stretch for me) to tell you about two great software packages to help you get started.

Prior to having a go at freelancing full-time, I used Samantha’s Oral Invoicing (sorry, not available in stores), which is a fancy way of saying that I told clients what I charged and they paid it, upon delivery of their products.

MacFreelance Time Tracking and Invoicing Software

When I left the corporate world in Januray 2010 to start my freelance writing career full-time, I loaded MacFreelance onto my freshly purchased computer. A bargain at just under $50, this program works perfectly when just beginning to track time and invoice clients.

I don’t have enough room to convey all the warm and fuzzy feelings I have about MacFreelance. When your business begins to grow, if you’ve been using the “oral invoicing” program I used, you may find yourself wondering if clients actually paid you for all the work you completed. MacFreelance can answer those worrisome thoughts and turn your assumptions into hard, cold data.

But as my business began to grow with leaps and bounds, I quickly became overwhelmed with remembering when clients hadn’t paid and keeping tabs on the numerous projects and the contractors that worked on them.

Enter FreshBooks – An Incredible Full Accounting Solution for Freelancers

A great guy, Jesse Petersen of Petersen Media Group, LLC, designed Freelance Writing Dreams for me at the behest of Darren Rowse and Brian Gardnergreat guys, the lot of them. When Jesse invoiced me, using his FreshBooks account, the professionalism and clarity of the whole process convinced me then and there, that I just had to try FreshBooks.

My business had long outgrown my affair with MacFreelance. In fact, my search for a new and more robust accounting solution began weeks before meeting Jesse. When I saw how professional this web-based solution looked to clients, I had to bite. And at just under $20 per month, far less than comparable packages, the efficiency of the software – the fact that it sent out automatic late invoice notices to clients (keeps me from feeling “mean”) – the pristine look and ease of use – all of these things, well, FreshBooks had me at, “Hello.”

FreshBooks — time tracking, impeccable invoicing, ability to add contractors and employees, robust accounting, add-ons galore — what more could you want? Hello? They’ve got ya covered — right from, “Hello”.

Full Disclosure: All Media Freelance, LLC, and its associated websites (Medtopicwriter and Freelance Writing Dreams) are affiliates of FreshBooks. Having said that – I would never promote (nor affiliate my company) with any product or service that I do not use, nor would I promote any product or service with which I have not had a fantastic professional, business experience.

  1. Hi Samantha,

I am a big fan of Fanurio http://www.fanuriotimetracking.com . It helps with the less appealing aspects of freelancing like invoicing and keeping track of time. It’s a useful application, with a user-friendly interface.

    • Karen,

I’ll have to check out Fanurio. Thanks so much for pointing it out to me! I’m committed to FreshBooks for the time being, but will check out Fanurio and include it as a post script in this write up (or another altogether), if I find it quite useful. I don’t want anyone to think that MacFreelance isn’t a great option by reading this post, either — it’s quite reasonably priced and did wonders for me when I began my business as a full-time endeavor. It’s simply that I outgrew its scope, once business began booming. It certainly paid for itself at least four times over and I truly recommend it for those just starting out in their businesses. Perhaps Fanurio offers the same type of boost for beginners.

Thanks for stopping by and for sharing your thoughts.

      Samantha

      • Hi Samantha! If you like time tracking applications with simple layout, maybe you can also check http://www.timetrack.eu – it’s a desktop tool and I think the layout is more user-friendly than for example Fanurio. They also have a version for mobile phones :)

  2. Samantha – I love your writing style! I share a very similar story with being a recovering corporate employee to now working as a freelancer full time. My magical time tracking/invoicing solution was TSheets (http://www.tsheets.com) which also integrates with the incredible FreshBooks! I couldn’t agree more with the necessity for a functional time tracking/project managing/invoicing app… it has proven its ROI a million times over! Fun sharing :)

    • Thanks so much, Barbara, for your kind words and for taking the time to stop by and share your thoughts about Tsheets. I didn’t see that package on the add-on section in FreshBooks. I must check it out. I need a mobile solution — one where I can access my FBooks, invoice, check payments, etc., from my iPhone, iPad, and laptop, when I’m away from my office and big beautiful (biggest they make) Mac. ;-)

  3. And I prefer Easy Time Tracking http://easytimetracking.net/. It is the easiest time tracking and billing software, too convenient to use.

  4. Great Post, Samantha!
FreshBooks sounds like an awesome tool.
Having the best technologies nowadays have its advantages and disadvantages. It could make our life a lot easier but also it could do us harm.
Internet monitoring software might just be what we need in order for us to feel safe. Especially for companies, this tracking tool could make the HR or business owners monitor the staff’s productivity. It’s a way for them to protect the company.
Just make sure you’ve chosen the right time tracking software for you. May it be for personal or business use, it should track time accurately.

    • Thanks for the tip! I’ll check it out and would be happy to review it for you here on FWD, if you like. Again, I appreciate you taking time to share your thoughts. I hope to see you here often. ;-)

  5. Readers may also review CaseFox.com. CaseFox is a Web-based Time and Invoicing Software for tracking of your billable/non-billable hours and expenses, create client invoices, record payments, tracking case notes, managing case documents, monitoring unbilled hours, unbilled invoices and many other tasks. Multi-user role based access to cases. Special contract attorney access to your account.

  6. Hi Samantha, Good article and very informative. I am not a freelancer, but I am always looking for the next best tool to be more productive. The company I work with use Talygen time tracking tool. It is a very useful application with online portal and there is no need of extra management. http://talygen.com

  7. Now it is much easier to use billing software to generate bills and keep a record of the invoices. The digital generation of data is also free from any type of errors thus it is the most viable technology used by businesses.

  8. I use Salestastic. It’s actually pretty good. If you don’t invoice too often there’s a free for life plan too. Worth checking out: http://www.salestastic.com

    • Thanks for sharing, Andy. Sorry it took so long to reply – my partner and I were off the grid for awhile, setting up content for the launch of our new company, RebelSpark. We’ll be launching soon, so stay tuned!
